This policy explains what the Coachwel app ("we", "the app") collects, why, and the choices you have.
Who uses the app
Coachwel is used by fitness trainers and their clients. A trainer adds a client and manages their plans and payments. The client then signs in with the same phone number to follow the plan, log what they do and share how they feel. Trainers are invited; clients join through their trainer.
What we collect
- Account: your phone number (for sign-in with a one-time code) and name.
- Client details added by the trainer: name, phone number, health and setup notes (for example diet, allergies, conditions, equipment), workout and meal plans, packages and payment records.
- Health details a client shares: date of birth, sex, height, weight and weight history, goal and goal weight, activity level, allergies, medical conditions and an optional note to the trainer.
- What a client logs: meals eaten, skipped or swapped (with the words typed for a swap), water, workouts and sets done, a daily sleep and energy answer, and a weekly check-in (how the week went, weight and an optional note).
- Reminder settings: which reminders a client turned on and at what time.
- Contacts: only the contacts a trainer chooses to import as clients. We do not read or upload the rest of the address book.
- App usage and diagnostics: which screens and buttons are used, crash reports and performance timings, linked to an anonymous user id. We never include names, phone numbers, amounts, notes, health details or logs in this data.
Why we use it
- To run the app: show each trainer their own clients, plans and payments; show each client their plan, what they logged and their progress; and sign you in.
- To let a client's trainer see the client's health details, logs and check-ins, so they can plan and coach.
- To fix crashes and improve the app.
We do not sell personal data, we do not show ads, and we do not track you across other apps or websites.
Where it is stored
Data is stored with Google Firebase (Cloud Firestore, Authentication, Analytics, Crashlytics, Performance Monitoring). Google processes it for us under its own terms. Data may be stored on servers outside India.
Reminders stay on your phone
Meal, workout, water and check-in reminders are scheduled on your phone from your plan and your settings. No reminder content is sent to a server, and you can turn them off in the app (Profile) or in your phone's settings.
Who can see it
A client's details, health details, logs and check-ins can be seen only by that client and the trainer who added them. Clients see their own payments but can't change them. We access data only when needed to support you or keep the service secure, or when the law requires it.
Trainers' responsibility
A trainer who adds a client's details, including health notes, must have that client's permission to do so.
How long we keep it, and deleting it
- We keep data while the account is active.
- A trainer can delete any client at any time; this deletes that client's plans and payments too.
- A trainer can delete their account in the app: Profile → Delete account. This permanently deletes, at once, your account and your clients, plans, payments, templates, packages and pending client invites, and signs you out. It can't be undone.
- A client can delete their account in the app: Profile → Delete account. This permanently deletes, at once, their sign-in, everything they logged (meals, water, workouts, weight, sleep and energy, check-ins) and the health details they shared, and signs them out. Their trainer keeps the plans, the payment records and the allergies and conditions on the trainer's own notes; ask your trainer, or email us, to remove those too.
- Anyone who can't use the app can email us to delete their data.
Your rights
You can ask us for a copy of your data, ask us to correct it, or ask us to delete it, including under India's Digital Personal Data Protection Act, 2023. Email us and we will reply within 30 days.
Children
The app is for people aged 18 or over. It is not meant for children to use.
Changes
If we change this policy, we will update the date above, and tell you in the app if the change is important.
